The QI information system is a modular ERP that brings finance, sales and CRM, manufacturing, services, HR and company management into one environment. It consists of 31 modules, of which a company licenses only the ones it actually needs, and it can be extended at any time. ERP (Enterprise Resource Planning) is a business information system that runs every key process in a company – from the order through production and the warehouse to invoicing, accounting and payroll – over one shared database. Accounting software only records the finances; the QI ERP system connects the whole company, so data is entered once and management has a real-time overview.

The QI information system is developed by QI group, a.s. JRM Slovakia, s.r.o. is its implementation and service partner: we run the process analysis, propose the set of modules, deploy the system, adapt it to your processes, train the users and look after QI after go-live.

QI is used by small, medium and large companies in manufacturing, trade, services, transport, construction and property management. Thanks to its modularity and the QI Builder tool, the system adapts to the processes of a particular company without expensive programming. The QI information system has more than 1 500 implementations in Slovakia and the Czech Republic.

The typical signs are: the same data is retyped into several programs, stock in the system does not match reality, you learn about production delays only after the deadline, reports for management are built by hand in Excel, and the company grows faster than its administration. There are four parts: licences for modules and users, consultants' work on analysis, configuration and data migration, user training, and the following service contract with legislative updates. On top of that comes hardware, either a server or its rental. You get the budget broken down item by item so you know exactly what you are paying for.

The return can be quantified where you lose money today: administrative time, errors in orders and invoicing, stock levels that drop once the warehouse data is accurate, penalties for late deliveries and better production planning. During the analysis we go through these numbers for your company, so you get an estimate of the savings before you decide.

We start with an analysis of your processes and needs, then propose the set of modules and a schedule. Next comes configuration, migration of data from your previous programs, user training and go-live. After the rollout we provide service support, legislative updates and further development. It depends on the scope: a company rolling out finance, warehousing and sales is usually live sooner than a manufacturer with planning and costing. You get a schedule with the dates of each stage right after the analysis and we stick to it. Go-live is usually planned for the start of an accounting period so that data transfers as simply as possible.

Master data – business partners, products, stock records and open documents – is migrated automatically by import. Historical documents are either migrated or left available for reference in the old system; we decide together based on what you actually need. Before go-live we test the migration in a trial run and you check the data yourself.

We need one person responsible for the project with the authority to decide, and key users for each area – for example the warehouse, sales, production and accounting. They take part in the analysis, the testing and the training. That time is what decides whether the system is set up to match reality in your company.

There are three common causes: a system is rolled out onto disorganised processes, nobody on the customer side has the authority to decide, and people are not trained. That is why we ask about processes first and configure the system second, run the project with one responsible person on each side, and train people on their own data.

Yes. QI includes the E-communication module (e-mail, SMS, ISDOC electronic invoicing), electronic communication with banks, connections to public registers (FinStat, VIES, the VAT payer register), its own QI Shop online store and interfaces for integration with CAD/CAM, MES, attendance systems and Microsoft Outlook.

Yes. The Payroll module handles the payroll agenda including statutory reports, and the HR and attendance module keeps records of employees, employment relationships, attendance, training and the validity of certificates such as welding or forklift licences. The data is shared with the other modules, so hours worked can be reflected in job costing.

Manufacturing is covered by the modules Technical preparation and costing, Production planning and APS, Shop floor control, Tooling and Quality. The company sees work in progress online, plans capacity, tracks material consumption and compares planned costing with actual.

Yes. QI Mobile makes selected agendas available on a phone or tablet, for example for sales people in the field and service technicians. QI Portal lets people without a full licence work with data over the internet – employees requesting holiday, for instance, or customers placing orders.

That is what QI Builder is for: a development environment inside the system itself. It lets us add fields, documents, reports and whole agendas without touching the core, so the changes survive upgrades to a newer version. Your specific requirements therefore do not have to mean expensive custom development that blocks you later.

QI can run on your own server or on a rented one – which is better for you depends on the number of users and your IT infrastructure, and we go through that together. The data is always yours. Access rights are set in detail, so each user sees only the data and documents they are entitled to, and the system records who changed a record and when.

The service contract covers legislative updates, handling requests through QI Helpdesk, consultations and further development of the system as your processes change or new agendas appear. You have a direct contact to the consultant who deployed your system and knows your configuration.

Yes. QI supports sending and receiving electronic invoices over the Peppol network through certified providers, incoming documents go straight into QI and the XML archive is kept on the customer's server. The E-communication module also handles electronic invoicing in the ISDOC format.
