An important note: this article is a concept and an overview of what is possible, not a step-by-step manual. We always draw up a specific digitalisation plan after analysing the particular needs of your business.
Digitalising a company is the theme of our time. For some it means getting rid of printers, for others production without paper on tablets, and for some perhaps just "depending on the cloud". At JRM Slovakia we see digitalisation as a tool that gives owners back control and gives employees clear responsibilities.
Here is our dozen views on how the QI information system helps turn chaos into a working system.
1. The paperless office and finance
The first step is getting free of physical binders.
- Electronic accounting: imagine a finance department without stacks of paper. Liabilities, receivables, statements and documents are stored safely inside QI.
- Digital approval of documents: invoices, holiday requests and orders no longer wait on someone's desk. The system sends them automatically to the right colleagues as tasks. A digital trail replaces physical signatures.
- Signing contracts online: integration with the Signi service makes it possible to sign documents in a legally binding way, quickly and from anywhere.
- Intelligent document storage: whether you prefer the cloud (Microsoft, IBM) or local storage, QI makes sure you reach your data instantly.
2. Managing by data, not by feel
A modern manager decides by what is actually happening, not by intuition.
- Decisions from data: correctly filtered forms in QI give you an immediate answer to the questions that matter. For complex analysis we use Power BI with AI support.
- Today's work plan: meeting notes in Excel are a thing of the past. Every employee, not only in production, sees their list of tasks in QI sorted by priority, which makes supervision easier.
- Policies and instructions: no more printed manuals. Policies are assigned to job positions in QI, where the employee digitally confirms they have received them.
3. Day-to-day work in the field and in the warehouse (mobility)
Digitalisation means the information is where the work is, not only in the office.
- The warehouse on a phone: a warehouse worker knows from a mobile device exactly what to put away or issue, where and when. The supervisor sees productivity and stock levels online.
- Service and logistics (QI Mobile): service technicians and drivers handle everything on their smartphone. No paper delivery notes in the van – the information is available to the whole company in QI immediately.
4. Efficient communication
- Internal information without paper: tasks, training information and periodic qualifications all flow through the system.
- Professional external communication: interview invitations and quotations sent straight from QI make you look more professional and respond faster.
- Connection to Outlook: the QI plugin puts important e-mails into the system in a couple of clicks, so the history of a conversation stays with the project or the client.
Bonus: security as a foundation
Digitalisation without protection is a gamble. That is why at JRM Slovakia we insist on:
- Backups: we recommend backing up at least once a day, both on site and off site (a geographically separate backup).
- Data protection: protecting the server and the storage is a key topic that we always discuss with our clients in person and as a priority.
How the digitalisation process runs (the road map)
A successful transformation is not about buying software but about changing how people think. We proceed like this:
- Mapping the processes: we identify time-consuming and repetitive tasks.
- Setting priorities: we start where the return comes fastest, for example invoicing.
- Putting the tools in place: configuring the cloud, the workflows and the basic processes in QI.
- Automation: deploying the more advanced features and automatic tasks.
- Training and culture: we help employees understand the benefits and make the move to the new system easier.
- Measuring the results: we track time, error rates and cost so that the system keeps improving.
Real results: what it brings you
Our experience says digitalisation works. In one of our implementations, at a customer with 15 employees, introducing just 4 points from this list was enough.
The result?
- A saving of EUR 12,000 a year.
- After 2 months, a marked rise in employee satisfaction.
- The owner's words: "At last there is order in the company."
